Program Assistant – Literacy Network Northeast

Position Type: Part-Time Contract (18-Month Maternity Leave)
Compensation: $20.00 per hour
Schedule: 15 hours per week
Start Date: As soon as possible
Reports to: Executive Director


Summary

Literacy Network Northeast is seeking a highly organized and motivated Program Assistant to support the smooth and efficient operation of our organization. This hybrid role combines remote work with in-office responsibilities and may occasionally require attendance at conferences, workshops, or community events.

Activities and Responsibilities
General Support

• Provide administrative and operational support to the Executive Director, ensuring smooth day-to-day functioning of the organization.
• Conduct research and offer information or referrals to appropriate programs and services that align with community needs.
• Support special projects, including preparing reports, managing documentation, and maintaining organized filing systems.
• Coordinate meetings and professional development activities, handling scheduling, logistics, and communication with participants.
• Record and distribute meeting minutes in a timely and accurate manner.
• Draft and edit reports, correspondence, and Northern Network e-blasts, ensuring clarity, consistency, and alignment with organizational messaging.

Social Media and Communication

• Coordinate with the organization’s web host to communicate updates and ensure website content remains current and relevant.
• Create, schedule, and manage content across social media platforms to enhance engagement and visibility.
• Foster and maintain effective communication with literacy delivery agencies, service providers, and the general public to support collaboration and outreach.

Data and Office Management

• Complete data-related tasks using provided templates, ensuring accuracy and consistency.
• Manage incoming and outgoing mail, maintain well-organized paper and electronic filing systems, and ensure records are kept up to date.
• Order office supplies, monitor inventory levels, and handle light errands such as picking up materials or delivering documents.


Skills and Qualifications

• Proven experience in an administrative support role, preferably in a nonprofit or community-based setting
• Strong organizational and time management skills, with the ability to prioritize tasks effectively
• Proficiency in Microsoft Office Suite and other commonly used computer programs
• Strong knowledge in Microsoft Excel
• Familiarity with social media management and digital content creation
• Excellent written and verbal communication skills
• Ability to build and maintain positive working relationships with colleagues, partners, and the public
• Professional demeanor, sound judgment, and a high level of dependability
• Bilingualism (English and French) is considered a strong asset


Hybrid Work Environment: This is a hybrid position, offering a combination of remote work and in-office responsibilities. While many tasks can be completed remotely, the Program Assistant will be expected to attend in- person meetings, conferences, and events as required. Additionally, certain duties such as filing, mail handling, and errands will need to be completed on-site.
