Warehouse Team Lead

Purpose
The purpose of this position is to supervise a team of warehouse coordinators and provide customer service, sales, administration and logistics support to the IMDEX business. Manage escalated issues as they arise within stream and working with the business to resolve. Supervise the warehouse functions to ensure the continuity of supply for raw materials and products, and distribution of finished goods to customers and end users in a safe and regulatory compliant manner.
Key Responsibilities
Lead the Warehouse Coordinators
- Lead, manage and support a high performing the day-to-day operations of the customer service team.
- Applies problem solving skills to troubleshoot solutions to complex issues, providing advice to team where required.
- Drives team to conduct root cause analysis and implementation of corrective action for process related issues.
- Identifies and implements opportunities to improve effectiveness of work and team output.
- Effectively manages urgent deviations to plans, adjusting work schedules and processes, and communicating to relevant stakeholders.
- Coaching and mentoring to provide a work environment that fosters open and honest communication for the betterment of each individual and the team.
- Facilitate hiring and on-boarding to the Customer Service team and ensuring adequate resource and talent allocation.
- Manage escalated issues as they arise within stream and working with the business to resolve.
Manage Export
- Prepare or obtain all required export documentation as required including but not limited to Commercial Invoice/Pack List, M041, CWD, Receipt advises, Certificate of Origin.
- Prepare and update all internal paperwork/files/systems relevant to the relevant shipment.
- Maintain appropriate record keeping and filing systems.
- Provide leadership to new and junior employees as appropriate and assistance as required to other team members.
- Liaise with freight forwarders and logistics providers to ensure shipment is completed effectively and efficiently and in a cost effective manner.
Warehouse Operations
- Assist in the planning and execution of daily warehouse operations.
- Assist in creation of shipping documents and booking of freight.
- Contribute to the maintenance of training compliance.
- Creation of SWI and work procedures.
- Ensure that warehouse personnel are trained and competent to carry out tasks.
Leadership and People
- Sharing and cascading the IMDEX vision, strategy and objectives to own team.
- Ensuring staff are engaged and competent to perform their tasks and compliant with all group policies, procedures and regional regulations.
- Raising difficult issues to ensure that they are addressed and leading team members to follow through on difficult actions or initiatives.
- Willingly passes on skills, sharing job knowledge and training others.
- Assigning appropriate support and resources to personnel to maximize success.
- Setting and providing clear direction and expectations. Effectively delegating and removing obstacles to get work done. Setting stretch goals and opportunities to drive higher performance.
- Recruiting talent based on capability requirements.
- Performance and Development Reviews (Achievement and Development Reviews ADRs) on direct reports completed, ensuring cascade to full region.
- Poor performance issues addressed in a timely manner.
- Supporting team members to create and action development objectives.
- Learning from setbacks, keeping calm under pressure and is sensitive to the needs of others during a time of crisis.
Health, Safety and Environment
- Utilizing resources to establish, implement, maintain, and improve the Quality, Health, Safety and Environment (QHSE) management system.
- Ensuring risk management activities are conducted within area of responsibility, including the identification and implementation of any site-specific measures required to eliminate or reduce risk in their area.
- Completion of hazard and aspect identification and elimination/reduction programmes for team.
- Effective incident reporting.
- Regular workplace inspections conducted.
- Safety meetings conducted.
- Site activities comply with workplace health, safety, and environmental legislation and the IMDEX QHSE management system.
- Ensuring employees are provided with the necessary personal protective equipment (PPE), instruction, information, training, and supervision to enable work to be carried out safely.
- In consultation with the QHSE Representative, developing and implementing an injury management program for injured employees.
- Employees and QHSE Representatives are consulted with regarding any QHSE issues and performance.
- Quality alert system is utilized to initiate and respond to QHSE issues.
Risk and Compliance
- Leading the collaborative identification of risks and compliance requirements relevant to the team.
- Promoting the reporting of potential non-compliance or misconduct through appropriate channels.
- Leading by example to promote positive risk and compliance behaviors to the team and to colleagues.
- Ensuring the compliance of team members with IMDEX risk and compliance policies, local laws and other relevant standards.
- Applicable risk management and regulatory compliance processes are implemented by the team.
- Behaviors that do not align with the IMDEX Code of Conduct are challenged.
Qualifications, Skills & Experience
Essential
- A minimum of 3 years' experience in a similar or slightly junior role.
- Basic computer skills and knowledge of Microsoft Applications.
- Accurate data recording and document control.
- Excellent phone skills and manners.
- Forklift ticket.
- Good document control.
Desirable
- A minimum of completion of secondary school is required with additional education preferred, with ability to read and comprehend technical data and standard work operating procedures.
- Dangerous Goods license.
- Experience utilizing an ERP system.
